Knowledge management workshop with generative AI

Knowledge management is and remains a key topic in our member companies. In the workshop on August 7, 2025 in our port area, we were able to find out more about how the use of generative AI tools can support this.

We were able to start this instructive and varied workshop, which was led by Katarina Mose, Senior Business Development Manager at Zweitag GmbH and board member of the Energy, Climate, Environment department of VDI Münsterländer BV, right on time.
After a short round of introductions, she gave us valuable insights into modern knowledge management methods and the potential of generative AI.

The focus was on the question of how companies can secure their important in-house expertise in the face of demographic change and an increasing shortage of specialists and workers.
Many employees will be leaving the workforce in the coming years, but how can their knowledge be recorded, structured and made available for the onboarding of new or existing colleagues?

In a short theoretical excursion this morning, we received important information about the different types of knowledge and how knowledge is always tied to a person.
Knowledge management must be continuous and should be firmly anchored in a company. Capturing, processing and securing knowledge is complex and demanding. What knowledge is relevant, which process steps should be backed up?
The knowledge of people in companies should be seen as valuable capital. It should not only be harnessed during onboarding, but could also be secured in a structured way when colleagues leave the company during offboarding.

In addition to the theoretical input, we had the opportunity to test the AI-supported, GDPR-compliant AI platform kamium.
In practical exercises, we were able to create prompts, generate images, request different types of text or have complete concepts written for us.
It was particularly interesting to compare the results provided by different AI tools. After all, ChatGPT, Claude, Perplexity, Gemini, DeepSeek and all the others do not all deliver the same results.
Data protection issues must be clarified when using all AI tools and great care must be taken when using company-owned data.
AI models are getting better and better and their functions are becoming more comprehensive. The translation of content is now very well possible, transcriptions of audio files are also very successful and can be used and applied in a variety of ways. The creation of AI agents or AI assistants, which are given certain specifications to solve recurring tasks, is increasing and is becoming more and more helpful in many use cases.
Everyone in our group took away numerous practical ideas and initial possible implementation steps from this morning workshop.
One fundamental insight: AI will not solve any problems independently in knowledge management either. The tools and platforms are improving and can provide support for certain tasks. However, the main task of knowledge management remains to create an understanding of how to secure and utilize knowledge in the company. Identifying key people, defining relevant knowledge, filling knowledge gaps and creating an action plan can be the first steps.
